KeyVid AI – Privacy Policy

2.1 Account and Profile Information

When you sign up or interact with KeyVid, we collect your name and email address, billing details (handled by third-party payment providers) and account usage data (plan, credits used)

2.2 Content You Upload

When you use the platform, we collect and process videos, audio files, and transcripts metadata (e.g., video title, timestamps, notes) along with AI-generated summaries and insights

2.3 Usage and Device Data

We may also automatically collect IP address and browser type, session activity and feature usage logs as well as crash/error diagnostics

2.4 Communications

We store support tickets and messages as well as user feedback and surveys. Opt-in communication preferences

We use the collected data to:

• Provide and improve our services
• Analyze usage trends and platform performance
• Generate summaries, insights, and AI-powered outputs
• Offer personalized experiences and suggestions
• Respond to support requests and technical issues
• Send system updates, feature releases, or billing notices

KeyVid uses external AI APIs to power its features like summaries, voice responses, audio generation, and chatbot interaction. When you use these features, relevant data (e.g. transcripts, text prompts) may be sent to these third parties only for the requested operation.

4.1 Providers We Currently Use

• OpenAI (ChatGPT, GPT models): We use OpenAI to generate summaries, and insights. Data sent to OpenAI is not used to train or improve their models. OpenAI API Data Policy
• Google Gemini / Google API Services: For conversational responses, podcast style summaries (temporarily) document creation or AI enhancements. We follow Google’s API Services User Data Policy, including Limited Use.
• Vapi (Voice AI Agent): Used for voice interaction/chatbot. Voice data is processed only for the duration of the interaction. Vapi Legal

We do not allow these services to retain or train on your data for their own purpose. You may opt out of specific features that rely on third-party APIs.

If you connect services like Google Drive, Notion, or Slack, we would only access necessary permissions to deliver features. We never sell or share your data with those providers and you can disconnect integrations at any time

Transcripts and summaries are stored securely on our servers using encryption. All communication with our servers is encrypted via HTTPS/TLS. We also use access controls and monitoring to prevent unauthorized access to your data. We do not store credit card data — billing is handled via our payment provider

Uploaded videos and transcripts are retained as long as your account is active or until you delete them. Free-tier data may be deleted after 30 days of inactivity. As mentioned earlier, you may also manually delete content via your dashboard or request full data and account  deletion by emailing support@keyvidai.com.

We do not sell or rent your personal data. We may share data with:

• Service providers (e.g., hosting, billing, analytics)
• Third-party AI processors (see Section 4)
• Legal authorities, when required to comply with law or protect rights
• Enterprise integrations (if you authorize platforms like Notion, Google Docs, etc.)

We use industry-standard security practices, including:

• TLS encryption in transit
• AES-256 encryption at rest
• Role-based access controls
• Security monitoring and anomaly detection
• Secure API gateways and rate limiting

Payment processing is handled by PCI-DSS compliant third-party providers. We never store credit card data.

• Request a copy of your data (data portability)
• Object to or restrict processing
• Withdraw consent for data use (when applicable)
